How the price is set

Together we define the scope and agree on the expected deliverables. Based on everything we've learned, we then calculate the price, using our AI-powered estimation tool and careful manual review. Depending on the project, we may prepare a project plan, perform technical research, review existing software, or develop prototypes before work starts.

The estimation tool is based on more than 28 years of project history, so the price you get reflects real experience with projects like yours, not guesswork.

For large projects, this planning takes place as a Project Scoping phase at an agreed, prepaid fixed price. Its outcome is the exact definition of what will be built, including the final price. The project price is fixed

Once the scope and price are agreed, the price does not change. If the agreed work turns out to take us longer than expected, that is our risk, not yours.

If something breaks because of a mistake we made within the agreed scope, we fix it at no charge.

Meetings and work outside the scope

Meetings, requests outside the agreed project scope, and emergency support are billed separately at the going project management rate for actual time spent. Your Project Manager will always explain this before it applies.

If you'd like us to build something genuinely new that wasn't part of the original plan, an additional feature, extra testing, a design change, that's simply treated as new work: we'll give you a fixed price for it, the same way we priced the original project. It's only meetings, coordination, and emergency support that are billed at the going rate, never new development itself.

When we bill by the hour, we charge for the actual time spent. If a meeting takes 25 minutes, you pay for 25 minutes. We never round up to the nearest half hour or full hour, as is customary in much of the IT industry.

We're also fair about the small things: quick clarifying questions and short practical calls that are part of running a project together are not invoiced.

What happens after the project launches

Most clients continue with Continuous Monthly Development after their project goes live, Care or Care Plus for ongoing improvements handled simply, or Care Ultimate for close, ongoing collaboration. At a cost that's a small fraction of what the original project cost, it's less a new commitment than simply making sure the investment you just made keeps paying off. And from the first month on a plan, the Monthly System Check is included: an automated monthly report that keeps watching the system you just launched.

Is the price really fixed?

Yes. Once the scope and price are agreed, the price for that scope does not change. If the work takes us longer than expected, that is our risk, not yours.

What if we want to add something during the project?

New work, an additional feature, extra testing, a design change, gets its own fixed price, quoted before it starts, exactly like the original project. Nothing new is ever billed by the hour.

Can automated testing be added to the project?

Yes. AI-assisted automated QA is an optional add-on to Fixed Price Projects: AI agents test the solution on a fixed schedule, 24/7 if you want, checking load time, form submission and key functionality, among others. Token usage is billed separately, based on actual usage. Not all automated tests use tokens, and your Project Manager will always tell you in advance which tests do.

Are meetings included in the fixed price?

No.

The fixed price covers the agreed project itself. Meetings, coordination, and other administrative time outside the agreed scope are billed at the going project management rate, for the actual time spent, never rounded up. Your Project Manager will inform you of the current rate and always tell you before any billable work begins.

Small practical interactions, a quick call to clarify a detail, are not invoiced.

When do we need Project Scoping first?

For very large or complex projects, where responsible pricing requires proper planning first. The scoping engagement produces the exact definition of what will be built, including the price. Smaller, well-defined projects can often be priced without it.

What if something breaks after launch?

If it’s caused by a mistake we made within the agreed scope, we fix it at no charge. For ongoing maintenance and improvements after launch, most clients continue with Continuous Monthly Development.

How long does a Fixed Price Project take?

It depends on the scope. Your Project Manager provides a specific timeline as part of the agreed project plan, before development begins.

Can we combine a project with Continuous Monthly Development?

Yes, many clients do exactly that. Continuous Monthly Development handles the ongoing improvements while a Fixed Price Project delivers the occasional larger initiative.
